Use PixVenu after the event is over

Yes, you can still collect photos from a past event — set the event date in the past and the gallery opens immediately.

~5 min read

You don't need to set up PixVenu before the event. If you're reading this article a week after the wedding (or a month after the birthday party, or the day after the office retreat), the platform still works.

How it works for past events

When you create a gallery, you set an event date. PixVenu compares that date to "today":

  • More than 14 days in the future — the gallery is scheduled and auto-goes-live two weeks before the date.
  • Within 14 days, today, or in the past — the gallery goes live immediately the moment you finish setup.

So if you create a gallery for an event that happened last Saturday, you'll land in your dashboard with a live gallery and a shareable QR + magic link already in hand. No waiting.

Sharing after the event

Print isn't usually practical post-event. The magic link is the right share path:

  • Text it to the group chat where wedding photos are already being passed around.
  • Email it via the host dashboard's Email button next to the magic link in the share card.
  • Post it in the family Facebook group / Slack channel / wherever the guest list lives digitally.

The link works the same as a printed QR — guests open it on their phones and tap upload, no app needed.

Adding the host's own professional photos

If you've already got a folder of photos from your photographer or your own phone, the Add photos button on the host dashboard's gallery detail page uploads them directly into the gallery — no need to act like a guest. These uploads can be marked with a "PRO" badge so guests can tell at a glance which shots came from the photographer vs candid uploads. See the Add professional photos article for the full flow.

How long can guests keep uploading?

How long the window stays open depends on your plan: free galleries have no time limit (the 30-photo cap is the ceiling), Essential galleries run for 3 months, and Signature and Premier for 12 months — measured from your event's end date. Within that window you can also close uploads early from the gallery's Stop accepting uploads control — pick a cutoff date, or stop uploads immediately — say, three months out when you've decided the gallery is "final." Existing uploads stay viewable and downloadable even after uploads close.

Why hosts use PixVenu post-event

A few patterns we see often:

  • The "I forgot to share the gallery before the event" save — the host realised the day of, or didn't have time to print QRs, so PixVenu becomes a post-event invite link in the thank-you message.
  • The "scattered photos" recovery — the host realises three weeks later that photos are stuck in seven different group chats, and PixVenu becomes the central inbox to consolidate them.
  • The "anniversary refresh" — a year on, the host wants to collect "memory photos" from guests who held onto something special. Same gallery, fresh round of uploads.

Whatever the reason, post-event setup is a first-class flow, not a workaround.
